How the workspace works

One set of statements per client per year, and why the tabs are the workbook's own sheets.

The workspace is where a set of statements is prepared. It is also, in a sense, the report itself.

One set per client, per financial year

A client and a financial year together identify a set of statements. There is one, and starting again for the same year opens the one that exists rather than creating a second.

That is why there is no "new statements" form to fill in — the two things that would identify it are already known from where you started.

The tabs are the workbook's sheets

Not a menu OptiVida invented. The tabs across the workspace are the 26 sheets of the V1.2 workbook, with the same names in the same order — TB CY, Notes to BS 13 Net, Trade Recv PY, and so on.

If you have worked in the Tally template, you already know your way around. If you have not, the Index sheet groups them.

The workspace opens on TB CY, and so does the generated workbook. The trial balance is where the work starts — it is the bridge between Tally and the statements, and every classification decision is made on it.

Note

Twenty-five of the twenty-six come from the template. Checks is OptiVida's own, and is the one worth visiting before you generate anything.

Everything recalculates as you work

Change a ledger's classification and the balance moves to a different line, the note it feeds recomputes, the face of the Balance Sheet follows, and the Checks sheet re-runs.

You do not press anything to make that happen, and there is no stale state to worry about. What you are looking at is current.

Saved as you go

The workspace saves your work as you make it. Close the tab, come back tomorrow, and your classifications and entries are where you left them.

The report is created the first time it saves. Nothing is charged until you generate.

Started. Data may be fetched, classifications may be partly done.

Reviewed

You have been through it.

Generated

The Excel and PDF have been produced.

The shape of the work

  1. Fetch the year from Tally

    Ledgers, groups, stock, bills and the company's particulars.

  2. Fill in Basic Info

    The entity's details, and two choices made once per report.

  3. Review the classifications

    On TB CY. This is most of the work in year one, and very little in year two.

  4. Enter what only you can supply

    Asset movements, current and non-current splits, the notes needing registers.

  5. Clear the Checks sheet

    Then generate.
