How OptiVida is organised
Six links across the top, and one rule that explains most of the product: work starts from a client.
OptiVida has a sidebar down the left and one organising idea underneath it: almost all work begins with a client.
The sidebar
The links are grouped into three sections, with Settings and Help at the foot.
- DashboardWorkspace
Where you land. What to pick up next, and your credits.
- ClientsWorkspace
Every business and individual you work for. Most journeys start here.
- ActivityWorkspace
Everything done in your workspace, newest first.
- CertificatesDocuments
Net worth, turnover, GST and every other certificate purpose.
- ReportsDocuments
CMA reports and tax audit reports, listed across all your clients.
- StatementsDocuments
Balance Sheet, Profit and Loss and the notes, in the format you choose.
- LedgerBooks
Bank statements turned into vouchers for Tally.
- ScrutinyBooks
Exceptions in a period's vouchers.
- Settings
CA profiles, the Tally Connector, credits, and document defaults.
Your credit balance sits at the foot of the sidebar too, with a link to buy more, and your name there opens the account menu.
The button at the top left folds the sidebar down to icons and back; the [ key does the same. On a narrow screen the sidebar is tucked away, and the menu button at the top left opens it.
Work starts from a client
Add each business or individual once. Their PAN, address and other particulars then fill themselves into every document you produce for them, and everything you have made for that client sits in one place.
This is worth internalising early, because it explains a difference that otherwise looks arbitrary:
- CertificatesEither way
Start from New, whose Certificates column lists every purpose, or from a client's Certificates tab. Started without a client, you choose one inside the wizard.
- CMA reportsFrom a client
Open the client, then the CMA Reports tab. New, then CMA Report, works too, but asks which client first.
- Tax audit reportsFrom a client
The same. Open the client, then the Tax Audit tab, or choose New, then Tax Audit Report, and pick the client.
- Financial statementsFrom a client
One set of statements per client per financial year, so they belong to the client by definition.
- Bank statementsEither way
Ledger in the sidebar, or the client's Ledger tab. You start by uploading the statement there; New, then Ledger import, opens the import dialog from any page.
Why the reports work this way
A CMA report or a Form 3CD covers one entity's books for one year. Starting from the client means the entity is settled before you begin, and next year's report can find last year's.
The client hub
Opening a client gives you a page with a tab for each kind of work: Overview, Certificates, CMA Reports, Tax Audit, Statements, Ledger, Scrutiny and Documents. It is the fastest route to anything you have made for that client, and the natural place to start a CMA or tax audit report.
Tip
See The client hub for what each tab holds.
The "+ New" menu
The New button sits at the top right of every page. It groups everything you can create into Certificates, Reports and Statements, with a client, a ledger import and a scrutiny run along the bottom. The n key opens it.
On a client's pages the menu is already set to that client, and says so at the top. Pick something client-scoped from anywhere else and OptiVida asks which client you mean, rather than sending you back to find one. Two entries, Stock Statement and QIS Report, are listed but not yet available.
Search and shortcuts
The search box at the top of every page (Ctrl K, or ⌘ K on a Mac) finds a client, a page or something to create, and takes you there. The ? key lists every keyboard shortcut; none of them fires while you are typing in a field.
Which product you are in
OptiVida is several products sharing one mark. The sidebar always shows OptiVida; a product is named where its list begins, in the small line above the page title: OptiCertificate on Certificates, OptiReports on Reports and OptiFinancials on Statements.
