Generating the Excel and the PDF

What you get, why a failing report still generates, and when downloading again is free.

Generating produces the Excel workbook and the PDF from the workspace you have been working in.

An Excel workbook

All 26 sheets, in the template's layout.

A PDF

The same statements laid out for print.

Both are built from the same model as the screen, at the moment you generate. The file cannot disagree with what you reviewed.

Generating these statements costs credits. You are shown the exact cost in the confirmation before it runs, and the current price list is on Settings → Credits and billing.

A failing report still generates

If the Checks sheet has not cleared, the report is produced anyway — with DRAFT on its face.

That is on purpose. Showing a client what is still missing usually requires handing them the statements, and refusing to generate would make that impossible.

Warning

The word DRAFT stays until the checks pass. Do not issue a draft expecting it to go unread — clear the Checks sheet first.

Downloading the same statements again is free

An unchanged report is re-served rather than rebuilt, and nothing further is charged. Each format is charged on its own: the first Excel and the first PDF of a given set of statements each cost credits, and every later download of either is free until the statements change.

A double click cannot charge you twice.

Excel and PDF work from the saved workspace. If you have unsaved changes, pressing either saves first and then generates. If the workspace on screen is exactly what was saved, nothing is saved again: the version does not move, and a report marked Generated stays that way.

Once the workspace is the saved one, the footer says what each button will do before you press it:

The stored file is the one these statements would produce. The button hands it back.

The last Excel was made before a changeCharged

The button regenerates it, at the usual cost. A Download v3 as generated link beside the note hands back the stored file exactly as it was issued, free, without saving or regenerating anything.

Save is greyed out while there is nothing to save.

Regenerating after a change

Change what needs changing in the workspace and generate again. The new files reflect it; the file issued before stays reachable from the footer until the next generation replaces it.

There is no separate "refresh" step — the workspace is always current, so generating always produces what is on screen now.

Before you generate

  1. Open the Checks sheet

    Anything outstanding is listed there.

  2. Confirm the Balance Sheet balances

  3. Confirm comparatives are present

    Unless these are first financial statements.

  4. Check Basic Info

    Especially the signatories, the UDIN and the signing date.

  5. Generate
