Reusing last year's mappings

Why the second year starts almost done, and what you will still be asked about.

The second year starts almost done. What you approved last year is applied to this year's books automatically.

Why year two is quick

Open next year's books and you find them already classified, with only what actually changed left to review — a handful of new ledgers rather than the whole trial balance.

The classification work in year one is an investment. It pays back every year after.

Note

In Tally's own V1.2 template, copying mappings forward is a button somebody has to remember to press, in a file that has to be copied from machine to machine. Here it happens because the mappings are held against the client.

Only your decisions are reused

Confirmed by youStored and reapplied

You approved it.

Changed by youStored and reapplied

You overrode a suggestion. Your correction is what is kept.

AI suggested, never reviewedNot stored

An unreviewed suggestion is not a decision, and is not carried forward.

Warning

This is why working through the AI suggested queue matters rather than leaving it. A suggestion you never looked at helps you this year and vanishes next year — and if it was wrong, approving it wholesale would make one error permanent.

A reapplied mapping is a decision

It arrives as settled, not as a suggestion, and does not re-enter the review queue. You made that call last year and OptiVida does not ask you to make it again.

It stays visible and stays correctable. If the nature of a ledger has genuinely changed, change it.

What you will still be asked about

New ledgers

Anything opened during the year has no prior decision. Expected.

Renamed ledgers

Matched by name and parent group, so a substantial rename is a new ledger as far as reuse is concerned.

Mappings that are no longer legal

Where the classification vocabulary has changed, an old answer is not silently reused — it is reported so you can re-decide.

Mappings the report's format has no line for

A ledger classified last year under one format to a line the other format does not print is reported, naming the format, rather than reused.

Those last two cases are deliberate. A change in the vocabulary, or in the format, is exactly when quietly reusing last year's answer would be wrong.

The Updated Mapping sheet

Records what the mappings now are, after this year's work. It is the sheet to look at when you want to see what carried forward and what did not.

Things that do not carry forward

Your entries — asset movements, non-current splits, the notes needing registers — are figures for a particular year, not decisions about what a ledger is. Those you supply afresh each year.
