Adding and editing a client

The client form field by field, and what happens to existing certificates when you change a detail.

Adding a client

  1. Choose Add client

    From the Clients page, or New, then Client, at the top of any page. The Add client panel opens at the side of the page.

  2. Choose Individual or Business

    The fields change to suit.

  3. Enter the name

    Full name, or Business name, is the only field required to save.

  4. Add whatever else you have

    Everything is optional and can be filled in later.

  5. Save

    Add client, at the foot of the panel.

The fields

Full namerequired

As it should print on a document. Business name for a business.

PAN

Used by certificates, the CMA report and Form 3CD. Business PAN for a business.

Passport number

For visa certificates. Individuals only.

Address

Registered or communication address. Registered office for a business.

Proprietor name

Where the entity has one.

GSTN

Carried into the tax audit report.

Aadhar
Line of activity

The nature of the business. Feeds the tax audit's business particulars, and helps OptiVida classify ledgers sensibly — trading and services look different.

Number of employees

Used in CMA schedules.

Unit type

The classification of the unit.

Proprietor name and the fields after it appear for a business only, under CMA. A business also has Constitution, Industry, Email, Phone and Notes.

Note

An incomplete client blocks nothing. Add the name now and fill the rest in when a document actually needs it.

Editing, and linked certificates

Changing a detail raises a question OptiVida cannot answer for you: should documents already issued change too?

Warning

By default, nothing already issued is altered. A certificate is a statement of fact as at its date — silently rewriting one because an address changed afterwards would falsify it. OptiVida offers to update linked certificates and leaves the choice to you.

Work not yet issued picks up the change either way.

Archiving

A client you no longer act for can be archived. They leave the working list, and their documents stay exactly where they are.

Archiving is not deletion, and it is the right move for a client you have finished with — records you may need years later should not depend on remembering not to delete something.
