Filling the certificate
The grant's purpose, every receipt under its heading, and what it was spent on.
Five steps: the entity, the grant, what came in, what went out, then review and issue.
1. Entity & Engagement
The same step as the turnover certificate: the entity's name, constitution, registered office, PAN and GSTIN, plus the certificate and engagement dates.
Note
Grant certificates are most often issued for trusts and societies. Pick the matching Constitution — it is recorded against the certificate even where the wording does not print it.
2. Grant Details
- Purpose of the Grantrequired
Printed in the title, the scope paragraph and the opinion. Phrase it to complete "… is for [purpose] as detailed in the Statement".
- Financial Yearrequired
One year per certificate, ending 31 March. Only completed years are offered.
- Name of the Authorityrequired
The funding agency or authority the Statement is submitted to. Printed in the address block and in the restriction on use.
- Address of the Authorityrequired
Then the assurance question — are audited financial statements available? — together with the audit opinion, the audit report date, and whether another firm audited them.
Note
This certificate asks for the audit report date once, not per row. It covers a single financial year, so it rests on a single audit report. The turnover certificate is the one that needs several.
3. Receipts
Every receipt, with the heading it prints under.
- Sectionrequired
Grant Received or Other Related Income. Interest earned on grant balances, and anything else the grant generated, belongs in the second.
- Funding Source / Agencyrequired
Who the money came from. More than one funder is fine — add a row each.
- Daterequired
- Mode of Receiptrequired
NEFT, Cash, Cheque or Others.
- Amount (INR)required
Enter one flat list. The Statement does the arranging: rows appear under their heading, serial numbers restart under each, and a single total is struck across both sections.
4. Utilization
- Activity / Purposerequired
What the money was spent on, as it should read in Part B of the Statement.
- Amount Utilized (INR)required
Note
Where grant terms cap administrative expenses, name the row so the cap is visible — "Administrative Expenses (within permissible limits)" is the handbook's own phrasing.
Underneath, OptiVida shows received, utilized and the balance between them. Nothing of that prints on the certificate; it is there so you can see the figure the unaudited reading says you reconciled.
5. Review & Issue
Check the preview, choose the issuing firm, enter the UDIN.
Warning
Read the opinion or conclusion sentence in the preview. The purpose you typed is sitting in the middle of it, and that sentence is what the certificate actually asserts.
Submitting takes you to the editor. The Statement — both parts — is the second page.
