Uploading a statement
Client, bank ledger and file; locked PDFs; and what the reconciliation check tells you.
A statement is uploaded against a client and one bank ledger in that client's Tally company.
Before you upload
Uploading
Open the import dialog
New import on Ledger in the sidebar, or on the client's Ledger tab, where the client is already chosen and every earlier import for that client is listed. New, then Ledger import, in the top bar opens the same dialog from any page, as does Import bank statement on the dashboard.Choose the client
Or create one there. If the client is not yet bound to a Tally company, the dialog offers to bind it to the one open in Tally. The connector then fetches that company's ledgers.Choose the bank ledger
Only ledgers under the bank groups are offered. This is the account the statement belongs to, and one leg of every voucher.Choose the file
PDF, Excel or CSV, as downloaded from the bank portal.Extract
OptiVida reads the transactions and opens the review workspace.
While Extract transactions is greyed out, the line beside it says which of these is still missing: the client, its Tally binding, the ledger list (and why the connector could not fetch it), the bank ledger or the file.
Locked PDFs
Many banks encrypt the PDF with the customer ID, date of birth or PAN. Enter that password on the upload form. It is used once to open the file and is not stored.
What "extracted" means
The transactions are read from the file by OptiVida's own parser — no AI is involved in reading the numbers — and then checked:
- the running balance printed on every line must follow from the one before it;
- where the bank prints totals or opening and closing balances, the extracted lines must agree with them;
- every page that looks like a listing page must have yielded rows.
The line under the workspace's heading says which of these held. A statement whose bank prints no totals at all — HDFC's standard format is one — can only be checked by the running balance, and that line says so rather than calling it verified.
Warning
If the reconciliation did not pass, that line turns into a red note. Read it before approving anything. A missed page or a swapped column shows up there, and a voucher posted from a mis-read line is a voucher you will have to find and delete in Tally.
Excel exports from other tools
A spreadsheet exported from another parsing tool, with the amount in one column and Dr/Cr in another, is read as well. What it usually lacks is the bank's own totals, so it reconciles by running balance only, or not at all if it carries no balance column.
